Reviewing Bin Discrepancies

Process Overview: While there are measures in place to ensure inventory is accurate and transacted properly as it moves throughout the facilities, discrepancies do arise. These discrepancies are typically time-sensitive and need to be resolved as quickly as possible to keep inventory flowing. The guidelines and troubleshooting methods in this document should be used when reviewing and researching bin discrepancies, allowing us to make the necessary adjustments.   

Common Types of Bin Discrepancies:

  • Empty preferred bins
  • Empty air bins
  • Bin with incorrect quantities
  • Bin with incorrect items
  • Cycle count variances

How is Inventory Management notified of these discrepancies?

  • Empty preferred bins- Task (via Bin Flag)
  • Empty air bins- Cycle Counts, Empty Bin Reports, Word of Mouth (via Putaway Driver or Replenishment Driver)
  • Incorrect bin quantities- Task (via Bin Flag) or Word of Mouth (via Putaway Driver)
  • Bin with incorrect items- Task (via Bin Flag) or Word of Mouth (via Putaway Driver)
  • Cycle count variances- Review of completed Cycle Counts

Bin Discrepancy Troubleshooting Guidelines:

  • Visual Check– Go to the physical bin location and ensure there wasn’t anything that was overlooked. This may include double-checking the items or quantity of items in the bin, ensuring inventory wasn’t misplaced around the bin or in a nearby bin, and generally confirming the discrepancy.
  • Research Prior Transactions for the Item– For both missing items and/or items in incorrect bins, check the most recent transactions for the item. This may help locate an item or show where an item should be located.
  • Path: Item Record > Inventory Detail subtab > Bin Transfers sublist
  • Review Empty Bins Within Row– Double-checking that the bins that should be empty are empty can help identify inventory that was misplaced or transacted into the incorrect bin number.  Filter for empty bins using the Bin Manager application below, export the results, and then filter for bins within the row being reviewed. 
  • Path: Shipping & Receiving tab > Bin Management > Bin Manager
  • Check Prior Inventory Adjustments– Review prior inventory adjustments made to the item. Doing so will help identify whether an inventory adjustment was processed incorrectly or whether inventory wasn’t moved in accordance with the adjustment. 
  • Path: Item Record > Related Records subtab > All Transactions sublist > Type = Inventory Adjustment (RFS Item)
