WHAT IS THE REMINDER FOR?

The reminder tracks all individual PO lines from a Product Specialist’s open POs.

WHAT DO I DO?

When the “contact vendor” date arrives on the Jax P&S Domestic Tracking Lines page, the product coordinator will send the vendor an email requesting information based on the results of the three items below.

Issue 1:  Does the purchase order have a booking number? Is it on time? Check the shipment status.

  • Use the daily Galaxy report to see if there is a booking number for the shipment.
  • Filter the Galaxy report to PO 104935. The report below shows that this PO does have a booking number. 
  • If there is no booking number for the PO on the Galaxy report, the vendor email will inquire about the shipment status.   If delayed, edit the expected ship date on the purchase order. 

Issue 2:  Are the Units & Dims Confirmed?

  • This information is needed to calculate ocean freight, warehouse space, planograms, and anything else related to how much space items may require.   We need to have verified units and dims for all items in the shipment. Remember, some items may need data for the sellable unit, inner carton, master carton, and import carton. In contrast, other items may ship as a single unit or in a few sizes. 

Issue 3:  Request invoice for Tooling or Samples.

  • Tooling:  If the PO includes any tooling charges, request an invoice. 
  • Samples:  Sample invoices should not be requested until after they are received.
