- Register for booth space- Ask Rana about square footage
- Look over all the crates and ask the warehouse staff to make repairs or build new crates as needed
- Reserve hotel room block for maximum amount of time and attendees to guarantee space
- Print Exhibitor Service Manual for all relevant dates and times and other information
To Complete in September
- Ask Creative Directors for each brand for any changes to the booth layout/structure/displays/signage, don’t forget Tracia
- Register for Crafters Home presentations/workshops if desired by each brand
- Mark up catalogs and sell sheets to remove obsolete items
- Contact Tracia for the new Sulyn items to include
- Register for Badges
- Begin figuring out giveaways for each brand as decided on by Director or Marketing and Product Development
- Discuss make and take projects for each brand
- Buy any booth items needed for all brands (display units, slatwall, props, make and take supplies, etc.)
- Upload new item pricing for Tim Holtz
To Complete in October
- Send off any art that will be printed off-site
- Ask Erica and Rana what the order minimum will be for the show special
- Contact Tracia to figure out which products she specifically wants displayed in the booth, we usually do not have enough room for all Sulyn items
- Track all new release samples that arrive in. Make sure new items are being photographed by Graphics.
- Have Graphics create a pre-show and during the show e-blast
- Plan group dinner
- Go through all crates and make sure all product is packed and in good condition, we should have 2 of each item. At least 3 of each new release.
- Place a sample order for any product needed
- Buy any materials needed, pallet wrap, tape, etc.
- Create/edit order forms for all brands. Save on the S drive by brand/type.
- Finalize all Shipping Information using the CHA Freight Checklist
- Submit products for Hot Product Showcase
To Complete in November
- Book flights for all attendees not booking their own
- Book rental car if needed- make sure company and pick-up/drop-off site is on location at airport
- Upload new item pricing for Cosmo Cricket, Storage, Sulyn and McGill
- Register for electrical, rigging, carpet and labor services
- Submit booth layout drawing to show and Labor Supervisor
- Complete new item set up forms for distributors and mail samples. Bring any remaining samples to the show to give. Send Confidentiality Agreement.
To Complete in December
- Submit per diem requests to Accounting
- Pack any signage printed in-house (in-booth signage, display posters, etc.)
- Make final crate list
- Pack 2 rolls of bubble wrap, roll of labels (to label bins/boxes), large sharpies and empty flat boxes with booth
- Schedule e-blasts and provide links to Web Specialist
- Print shipping labels to and from the show (75 return labels)
- Ship crates to Advance Warehouse designated by the show and get Bill of Lading from Shipping
- Set aside one sample of each new product for the Product Development New Item meeting
- Bring back one carton of catalogs to corporate and distribute to Marketing, Product Development, Customer Service and Purchasing

3 Weeks or Less Before the Show
- Finalize hotel arrangements
- Make sure sneak peek blogs are posted for Scrapbook.com
- Create sales info for booth staff
- Print ship dates for new releases
- Print international distributors list
- Print sales rep list
- Schedule booth walk throughs with sales reps and designers
- Send Customer Service links to order forms/digital catalogs/images, and any other necessary information
- Pack at least 2 of each catalog to travel with you to the show
At the Show
- Check all product bins the first day of the show to make sure we have all the product
- Buy snack and drinks
After the Show
- Make sure shipment arrives back in Jax
- Create RMA to return unused catalogs back into inventory
- Develop a list of items needed for next show and any corrections to make (ex- need more peg hooks) and distribute to appropriate people
- Follow up on any requests made at the show from press or customers
- Update the Tradeshow Balance Sheet: S:Sales & MarketingTradeshowsCHA/CHA Expense Tracking.xlsx
- Request a master carton of each new TH sku to be sent to Tim Holtz
- Ship back any projects to the designers as requested
