Daily Task Review

Process Overview: The below process and associated guidelines should be used daily to ensure tasks are being completed on time.    

Frequency: The Tasks saved search or the Tasks portlet (depending on role/permissions) must be viewed at least once per day.  For locations that have tasks created more often, these tasks should be checked throughout the day to avoid any becoming past due.

Task ‘Assigned To’ Names that each location is responsible for checking daily:

Step 1: Check one of the following searches or grids to see if any open tasks need to be completed. 

Open Task Grid (By Location)- These Task Grids are pre-filtered by Location Group Name and can be used to see the status of open tasks based on the Task Type and Task Sub-Type.  (Path: Projects & Items > Tasks > Open Task Grid, Location)

  • *Note– The Maximum of Due Date is the latest due date found within the group of tasks on the line. 
  • *Note– If there is only 1 task at a specific status within the group, clicking the ‘1’ link will take you directly to the task.  If there are multiple tasks within the group, clicking the numbered link will take you to a results page, providing more detail for each task.

Tasks Page– (Depending on your NetSuite Role and/or permissions, a Tasks portlet may be available for use as well) Use the Assigned To filter to check the status of tasks assigned to each of the group names and/or individual names at each location.   (Refer to Table on Page 1)

  • *Note– To view the individual task and associated details, click the View link on the task line.

Step 2: As needed, follow up with the Current Assignee on tasks that are due today to ensure completion. 

  • *Note– For any tasks that require more time to complete, update the Due Date field to the date we anticipate completing the task and add a note under the Notes From Task Recipient field.

Step 3: Follow up on tasks that are past due. 

  • *Note– Similar to the note in the previous step, for any tasks that require more time to complete, update the Due Date field to the date we anticipate completing the task and add a note under the Notes From Task Recipient field. 

This completes the daily task review process.
