Customer Service Ship Window Policy

Purpose: To clearly define the process by which Customer Service will select a Customer Ship Date and Planned Ship Date for Sales Orders that have a Ship Window. This provides clarity for Customer Service and allows proper planning by the respective Advantus Warehouse the order(s) will ship from.

Last Day of Ship Window Policy

The following customers shipping from the Jacksonville facilities will adhere to this policy: 91TJX, 02MAR, 91HGO, 02KOHL, 02BUR, 02ROSS, 02BEAL, 02WMI, 99TXE, 99TXA.

  • The Customer Ship Date/Planned Ship Date will be set to the last day of the shipping window.
    • If the last day of the ship window falls on a weekend day (Saturday or Sunday) the Customer Ship Date/Planned Ship Date will be set as the Friday before the last day of the ship window.
      • Example: Customer-provided ship window is 7/16/2024 – 7/20/2024. The CSD/PSD would be set to Friday, 7/19/2024.
    • If the last day of the shipping window falls on a holiday in which Advantus locations will be closed, the Customer Ship Date/Planned Ship Date will be set as 2 days before the Advantus location closure.
      • For Example: The customer-provided ship window is 11/20-11/24. The CSD/PSD will be set for Tuesday, 11/21.
  • The start and end of the Ship Window will be entered on the Sales Order in the Ship Not Before and Cancel Date fields.
    • Ship Not Before Date: Start of Ship Window
    • Cancel Date: End of Ship Window

Additionally, international customers that require routing to be completed by the first day of the Shipping Window, must have the Route By Date field on the Sales Order filled with the Ship Not Before date for visibility by Order Management.

  • Affected Customers: 02WMI, 99TXE, 99TXA.

Next to Last Day of Ship Window Policy

Customers not listed in the above policy or in the exempt policy will adhere to the below ship window policy:

  • The Customer Ship Date/Planned Ship Date will be set to the next to the last day of the shipping window.
    • If the next to the last day of the ship window falls on a weekend day (Saturday or Sunday) the Customer Ship Date/Planned Ship Date will be set as the Friday before the last day of the ship window.
      • Example: Customer-provided ship window is 9/26/23-10/1/23. The CSD/PSD would be set for Thursday, 9/28/23.
    • If the next to the last day of the shipping window falls on a holiday in which Advantus locations will be closed, the Customer Ship Date/Planned Ship Date will be set as 2 days before the Advantus location closure.
      • For Example: The customer-provided ship window is 11/20-11/24. The CSD/PSD will be set for Tuesday, 11/21.
  • The start and end of the Ship Window will be entered on the Sales Order in the Ship Not Before and Cancel Date fields.
    • Ship Not Before Date: Start of Ship Window
    • Cancel Date: End of Ship Window

The following customers/locations are exempt from this policy: AAFES, MCX, NEXCOM, and Outside Warehouses.

Exemptions to Ship Window Policies

Requests for exceptions to this policy can be submitted in writing to one of the following people:

  • Customer Service Manager
  • Senior Manager, Shared Services
  • Vice President, Shared Services
