Customer Service Sales Order Terminology and Logic

Sales Order Line Commitment Status: Impacts how the line is committed

Option

Logic

Fulfillment Paths

Routing

Available Qty

Commits available inventory to the line, including partial quantity allocation

Task Picking

Bulk Fulfillment

3PL Fulfillment

Native Fulfillment

Uses allocated quantity only for the Routing Calculator

Complete Qty

Intend to ship line in full regardless of available inventory to commit at the time of release*

Bulk Fulfillment

Task Picking**

Uses quantity ordered instead of allocated quantity for the Routing Calculator

Do Not Commit

Line item will not have inventory allocated to it when in this status. This option shouldn’t be used for backorders as Temp Close or SOCR logic is the correct process.

Task Picking

Bulk Fulfillment

3PL Fulfillment

Native Fulfillment

Line quantity isn’t used for the Routing Calculator

*Orders with Complete Quantity selected without Full Allocation status can only have Release Status of Scheduled selected (see Release Types section).

**Complete Quantity is intended for Bulk Fulfillment. However, Complete Qty can be used for Task Picking orders at the explicit request of Ops. When this occurs, Ops will monitor affected orders for pick task generation and allocation of items marked Complete.

Sales Order Line Close Status: Impacts how the line is closed (Note this is at the line level not the entire sales order which is the header level.)

Option

Logic

Close

  • Used for lines that we do not plan to ship
  • Not reopened systematically, only manually
  • Line quantity is not included in the Routing Calculator

Temp Close

  • Used for lines that we do not want included on the current release but plan to ship in the future (for example, back-ordered item as an exception for the customer)
  • Used for Bulk Fulfillment orders with partially committed or fully back-ordered lines
  • Reopened systematically after current fulfillment occurs
  • Line quantity is not included in the Routing Calculator

Sales Order Change Requests (SOCR): Used to adjust (by Ops) line quantity or split (by Customer Service) the line quantity to a new line or new sales order

Option

Logic

Adjustment

  • Internal Note will reference “Adjusted”
  • SOCR Adjustments subtab will list the SOCR records from adjustment
  • Typically performed by Ops due to inventory discrepancies found at the time of the pick to remove allocated quantity from the line

Split to New Line

  • Internal Note will reference “Split” and item has multiple lines on order
  • SOCR Splits subtab will list the SOCR records from split
  • Typically performed by Customer Service when a customer allows partial quantity but item is committed out of required multiple
  • Uncommitted quantity (in correct required multiple) split to new line and Temp Close is used

Split to New Order

  • Internal Note will reference “Split” and line will be closed on original order
  • SOCR Splits subtab will list the SOCR records from split
  • Typically performed by Customer Service when order is too large or when Bulk Fulfillment orders have a back-ordered line

Sales Order Release Status: Impacts when the order is ready for fulfillment

Description automatically generated

Option

Logic

Hold

  • Order is not ready for fulfillment
  • Default setting for new order
  • Partially Fulfilled orders with unfulfilled lines not set to Close are systematically reset to this status after fulfillments

Released

  • Order is ready for fulfillment
  • Passed Validation and inventory committed per Customer’s Fill and Release Rule
  • Available for pick task or Bulk Fulfillment Batch generation
  • Visible to Order Management for routing, if required

Scheduled

  • Order is not fully ready for fulfillment
  • Used for Bulk Fulfillment orders only that are not fully allocated with line set at Complete Qty to begin Batch generation
  • Visible to Order Management for routing, if required
  • Moved to Released status once all the order is fully allocated
