Customer Service Mailbox Structure

Purpose: To clearly define the current organizational structure of the Customer Service shared mailboxes.

The Customer Service shared mailboxes are organized using the following structure:

• Inbox
  • Customer Service Rep/Account Manager Name
    • In Process
    • Complete

Customer Service Reps/Account Managers are responsible for reviewing the Shard Mailboxes multiple times a day and assigning emails to themselves that are for accounts/divisions they are responsible for.

New emails will be moved from the main inbox to the respective Rep/Account Mgr.’s name.

Emails that have been addressed but not completed are moved to the In Process subfolder.

Emails that have been addressed and do not require any further action are moved to the Complete folder.

Currently, emails that are from before 2/9/2024, have been moved to their own folder. These are emails that were part of the previous Shared Mailbox structure.

Emails in this folder are categorized by Customer Service Rep/Account Manager using Outlook Categories.

Communication related to a Sales Order can also be found on the Communication subtab of the related Sales Order.
