When we need to update content for an existing item with Staples, we will need to send an email to our outside rep, Doreen Romano. In the email, we will attach the the Metadata spreadsheet for images (template) and the Content updates spreadsheet (template).
Images
For the Metadata spreadsheet, all images that are being sent will need to be in the COP Marketing Dropbox folder.
Using the Graphics login credentials in Bitwarden, log into Dropbox.
On the left hand side of the screen, open the Advantus Graphics folder:
- _TO ADVANTUS > COP folder has Artistic images
- _TO CUSTOMERS > Advantus COP Images has most images
Locate the images needed for Staples. Note that they will need to be renamed as the Staples SKU number if it’s not already named this way. or use the Upload button to load the images needed.
Click “Copy link.”
Open the Metadata spreadsheet template. Paste the Dropbox link into the cell under Image Filename in the spreadsheet.
In the SKU Sequence column, list the SKU number, followed by “/” and the number representing where this image should appear on the image carousel:
- 0 = main image
- 1 = alternate image, 1st after the main image
Fill in the remaining cells accordingly:
- Wholesaler Sequence: leave blank
- Product Image? Y
- CDN Publish? Y
- URL (Optional): leave blank
Save the spreadsheet and attached to the email to send to Doreen.
Content
Open the Content update spreadsheet template. Using the data on the Staples website, fill in the below under the Current columns:
- SKU #
- Model #: Advantus item number
- Current Description: description as listed on the Staples website
- Marketing Copy: as listed on the Staples website
- Bullet points 1-8
Under the New columns, fill in what we want updated:
- Description
- Marketing Copy
- Bullet points 1-8
Save the spreadsheet and attached to the email to send to Doreen.
