Tradeshow Binder

Below are the things you should include in your tradeshow binder for reference, organization, and a smooth tradeshow experience.

Show Information:

  • Exhibit Contract
  • Show Directory
  • Floor Plan/Map- highlighting your booth location/number
  • Booth Rendering/Layout
  • Certificate of Insurance

Services/Labor:

  • Copies of any completed labor request forms – including labor, electrical, rigging, etc.
  • Copy of Paid Show Invoices
  • Show Schedule including set up days, show days, and tear down days
  • Instructions for Dismantling/Tear-Down/Last Day
  • Information regarding where/who to send donated booth product from show floor

Shipping/Freight Information:

  • Copies of the BOL freight in
  • Return BOLs for the return shipment

Staff Information:

  • List of all booth staff with contact emails, phone numbers, arrival and departure dates
  • Badge roster & printed badges for each booth staff member
  • Flight information for each staff member
  • Hotel reservations/confirmations for each staff member
  • Dinner reservations/confirmations
  • Event Information/confirmations

Sales Information:

  • List of Products that will be displayed in the booth, including the item number, description, list price, MOQ, inner and master carton quantities. NOTE WHAT ITEMS ARE NEW!
  • Order Forms or Price List (if applicable)
  • Catalogs (if applicable)
  • Sales Sheets (if applicable)
  • Closeout List or Order Forms (if applicable)
  • List of any Show Specials or Discounts (if applicable)
  • List of all meetings/appointments
  • List of customer prospects
  • Any training materials or powerpoints for booth staff
