General Timeline/Checklist

To Complete in Spring/Summer

  • Register for booth space-  Ask Rana about square footage
  • Look over all the crates and ask the warehouse staff to make repairs or build new crates as needed
  • Reserve hotel room block for maximum amount of time and attendees to guarantee space
  • Print Exhibitor Service Manual for all relevant dates and times and other information

To Complete in September

To Complete in October

To Complete in November

To Complete in December

  • Submit per diem requests to Accounting
  • Pack any signage printed in-house (in-booth signage, display posters, etc.)
  • Make final crate list
  • Pack 2 rolls of bubble wrap, roll of labels (to label bins/boxes), large sharpies and empty flat boxes with booth
  • Schedule e-blasts and provide links to Web Specialist
  • Print shipping labels to and from the show (75 return labels)
  • Ship crates to Advance Warehouse designated by the show and get Bill of Lading from Shipping
  • Set aside one sample of each new product for the Product Development New Item meeting
  • Bring back one carton of catalogs to corporate and distribute to Marketing, Product Development, Customer Service and Purchasing
  • Contact Nancy McNally at Scrapbookupdate.com and Scrapbook.com for Tim Holtz blog shares of new releases

3 Weeks or Less Before the Show

  • Finalize hotel arrangements
  • Make sure sneak peek blogs are posted for Scrapbook.com
  • Create sales info for booth staff
  • Print ship dates for new releases
  • Print international distributors list
  • Print sales rep list
  • Schedule booth walk throughs with sales reps and designers
  • Send Customer Service links to order forms/digital catalogs/images, and any other necessary information
  • Pack at least 2 of each catalog to travel with you to the show

 At the Show

  • Check all product bins the first day of the show to make sure we have all the product
  • Buy snack and drinks

After the Show

  • Make sure shipment arrives back in Jax
  • Create RMA to return unused catalogs back into inventory
  • Develop a list of items needed for next show and any corrections to make (ex- need more peg hooks) and distribute to appropriate people
  • Follow up on any requests made at the show from press or customers
  • Update the Tradeshow Balance Sheet: S:Sales & MarketingTradeshowsCHA/CHA Expense Tracking.xlsx
  • Request a master carton of each new TH sku to be sent to Tim Holtz
  • Ship back any projects to the designers as requested
